Rental Checklist for your Next Event

Planning any kind of event can be stressful - but ordering your rental items doesn't have to be! We’ve created this Rental Checklist to make sure you remember all the items you need while planning your event.
First, let’s talk about the basics. These are things you must consider first before getting into the finer details when planning your event:
- Determine the timeline
- Choose your date
- What type of event?
- How many guests?
Once you know the size of your event, you can plan out the seating and tables - this will also help you to choose the right size of venue. In general, sit-down events require 10 to 15 square feet per guest, while cocktail receptions require less room - 5 to 7 square feet per guest.

Now that you know what your event will look like, decide on what you will be serving. Start by determining how many courses you want to serve, which will help you determine your dishware and flatware numbers.

Now you’re ready to make a checklist for your rental items! We always recommend you order your rental numbers based on the maximum expected guest count. You can always adjust the final numbers 72 hours prior to your event.
For a sit-down dinner:
- Tables - what size & shape?
- Linens – what size & shape?
- Napkins
- Chairs - what style?
- Dishware, ie. plates
- Flatware, ie. cutlery
- Glassware - (include glasses for the bar as well)
- Bar serving items & ice
- Serving pieces based on food
- Kitchen items - depending on kitchen facilities


For a reception style event :
- Cocktail tables - what size & quantity?
- Bar stools needed?
- Food tables
- Linens - what size & shape?
- Napkins
- Chairs - what style?
- Glassware - (based on what you are serving)
- Wine, beer, highballs, champagne
- Specialty cocktail glasses?
- Bar serving items & ice
